What an agent actually does

Think of a routine you would explain to a new hire in a few sentences. “Every morning, check these three inboxes. Anything that looks like a leave request, log it in the HR system and reply to confirm. Anything urgent, flag it to me. Then send me a short summary.” An agent is that instruction, turned into software that runs on its own.

It works because it can do three things together: read and understand ordinary language, connect to the tools you already use, and follow a set of steps in order. The reading is the new part. The connecting and the steps are ordinary software, and they are what make it reliable.

A few real examples

  • An HR manager whose agent sorts leave and expense requests, files them in Zoho People, and drafts the standard replies for a quick review.
  • An executive whose agent reads overnight email, pulls the day’s figures from a few systems, and leaves a one-page brief ready before the first meeting.
  • A finance team whose agent matches incoming invoices against purchase orders and lists only the ones that do not line up.

In each case the person does less typing and copying, and spends their time on the part that actually needs judgement.

An agent can draft the reply, prepare the entry, flag the exception, and then it stops. Anything that leaves the building or changes a record waits for a named person to say yes. That single step is what makes automation safe to trust. It keeps a human in charge of the decisions that matter, while the machine takes care of the busywork around them.
